Terms & conditions LT Awards

Introduction

These are the terms and conditions upon which each entry registration and submission to the Learning Technologies Awards shall be subject.  If CloserStill, organisers of The Learning Technologies Awards (“we”, “us”, “our”, or “CloserStill”) accept an entrant’s (“you”, “your”, “yourself”, "competitor", "competitor organisation" or “entrant”) entry registration or submission, you will be bound by these terms and conditions and your entry registration(s) and submission(s) shall be considered and judged in accordance with these terms. We reserve the right to amend these terms and conditions at any time and such changes shall be deemed notified to you by their publication online.  

Definitions

The following terms shall have the following meaning in these terms and conditions: Learning Technologies Awards means the competition known as the Learning Technologies Awards (formerly The E-Learning Awards) whereby learning technologies and e-learning is judged by an independent panel of judges and awards are given in relation to the categories.

Category means each particular category of award to be granted and presented by CloserStill in the course of the Learning Technologies Awards as more particularly listed and detailed on the website.

Entry or Entry Registration means your entry registration is to be considered for entry in the Learning Technologies Awards. Submission means the written and electronic media that you submit for judging in the Learning Technologies Awards.

Executive summary means the 100-word summary which should accompany your submission in a separate document and which will be published online if your entry is shortlisted.

Fee means the relevant entry registration fee corresponding to the relevant entry registration according to the relevant Category for which the entry is made as set out on the Website.

Judging Criteria means the criteria and bases for judging entries and granting awards to entrants in the course of the Learning Technologies Awards. 

Gala Evening means the Learning Technologies Awards gala ceremony which takes place in November 2024.

Website means the Learning Technologies Awards website at www.learningtechnologiesawards.co.uk

Eligibility

Submissions are open to individuals, institutions, and companies within all business sectors and international participants are encouraged. 

Each entry must be the original work of the entrant and not infringe on the intellectual property rights of any third party.

If you have previously entered and the project has significantly evolved resubmission will be considered subject to quantifiable evidence. 

Projects that have been honoured with a Gold Award in previous years are ineligible for resubmission in the same category but may be entered in a new category. 

Confidentiality

Submissions are not shared in the public domain in their entirety at any stage of the process.

Executive summaries are shared in the public domain without prior consultation with the competitor. It is the responsibility of competitor organisation to ensure summaries do not contain any information that is confidential or that they would not wish to enter the public domain.

All judges, plus the overall chair of the judging panels and the administration manager for the awards have signed a confidentiality and non-disclosure agreement. 

They must also declare any conflicts of interest with any submission.  

The overall chair of the judging panels and the administration manager for the awards have access to all the submissions. Individual members of the judging panels can only access those submissions in the categories they are assigned to judge. 

CloserStill may publish or may agree to a third party publishing some case studies of winners. Permission would be sought from the competitor organisation if applicable prior to anything being published. Any media or other files that accompany submissions would also only be used with prior permission from the competitor organisation.

It is the responsibility of the competitor organisation to seek permission from its clients and partners, if applicable, for any case study or other information to be published by CloserStill or its agreed third party.

Entry registrations

Entries must be submitted through the Learning Technologies Awards official website, using the required submission form. Supplementary materials (videos, PDFs, slides) can enhance your submission but are not mandatory.

All fees are non-refundable regardless of whether a final submission is made.

CloserStill reserves the right, in its absolute discretion, to extend the closing date for entry registrations for whatever reason.

CloserStill accepts no responsibility for entry registrations that are lost, delayed, misdirected or incomplete, or cannot be delivered or entered for any technical or other reason.

Unless otherwise stated, each Entry should focus largely on work completed or projects undertaken in the last two years. However, projects and products developed before this time frame are not precluded from entering if the competitor feels they are relevant to today's learning technologies environment.

You may make joint entries with partners and clients.

You may submit any number of entry registrations to the Learning Technologies Awards.

You may place an entry registration in more than one category.

You may make more than one entry registration in any given category.

You may enter the same product or project in more than one category.

You may make more than one entry registration on one entry form.  Each entry registration for each product or project in each category will be deemed an individual entry and charged on that basis.  This relates to entry registrations for the same product or project in multiple categories or for different products or projects in the same category. 

For example:

Project 1 entered into Category A    = £165 plus VAT

Project 1 entered into Category B    = £165 plus VAT

Project 2 entered into Category B    = £165 plus VAT

Total cost of entry registrations       = £495 plus VAT

There are different fees depending on the number of entries made as follows:

  • 1-2 entries               - £170 plus VAT per individual entry
  • 3-7 entries               - £165 plus VAT per individual entry
  • 8 or more entries    - £160 plus VAT per individual entry

In the event that an entry registration is inaccurate or incomplete, does not comply with these conditions for entry or is deemed, at the sole discretion of CloserStill, ineligible for any other reason, then the relevant entry registration will be disqualified and the entry registration fee will be forfeited.

For the avoidance of doubt, the entry registration fee is payable and non-refundable regardless of whether a final submission is made.

No submission will go forward for judging unless full payment of the fee is received before judging commences in August.

Entrants should supply the Organisers with updated and reachable contact details, including email and telephone number. It is the responsibility of the entrants to update the Organisers if those contact details change at any time during the awards process. CloserStill will not be held liable for any correspondence not received by competitors at any stage of the competition.

Submissions

The submission deadline is 26 July 2024 at 17:00 BST.  Submissions received outside this time period will not be considered. CloserStill reserves the right, in its absolute discretion, to extend the closing date for submissions for whatever reason.

CloserStill accepts no responsibility for submissions that are lost, delayed, misdirected or incomplete or cannot be delivered or entered for any technical or other reason.

All entries are confidential and will not be published or discussed with anyone outside of the judging panel.

Submissions must be made in the English language. Any visual content must have English subtitles.

Submissions may be made using any software or programme. It is the responsibility of the competitor to ensure their submission can be easily viewed and accessed on a range of devices.

Neither CloserStill nor any member of the judging panel take any liability for any inaccurate information contained within any submission as it is the responsibility of the entrant to provide accurate information. The Organisers reserve the right to verify any information contained in the submission.

Submissions in their entirety are not shared in the public domain. However, for the avoidance of doubt, any highly confidential material should form no more than 30% of the content of any submission and should be marked up accordingly. 

Submissions made previously in any category using the same content must show a brief synopsis highlighting any updates or how the new version differs.

Executive summary

Submissions should be accompanied by an Executive Summary of no more than 100 words. This should be submitted in a separate document to the main submission.

The summary will be published on the Learning Technologies Awards website, if the entry is shortlisted, and will therefore enter the public domain. It may also be used in other collateral connected with this awards scheme.

The summary will be published without prior consultation with the competitor organisation and it is the responsibility of the competitor organisation to ensure that the summary does not include any confidential or other information that they do not wish to see in the public domain.

Word count and additional media

Submissions must not exceed 2,000 words. The final word count includes any appendices, slides or other accompanying written information.  The word count does not include the 100 word Executive Summary or any explanatory text provided for images. Any explanatory text must be kept to a minimum

Submissions may be accompanied by any or all of the following:

  • a short video file or files or a link to a video sharing site. The maximum cumulative length of 5 minutes for any video(s),
  • links to additional material, such as a demo of the programme or product,
  • slides or static screen displays up to a maximum of 12.


Any of the above additional media may be embedded within the final submission or submitted as separate files. 

The judging panel must be able to view any additional media without further interaction with the competitor. It is the responsibility of the competitor organisation to provide correct login and password details or any other required access information at the time of submission, and to ensure any firewalls etc will not impede access.

Judges may review entries anytime during between the beginning of August to mid September and competitors should ensure any required login and password information does not expire during this time.

The judging panel will spend no more than 10 minutes viewing any additional media. 

Neither CloserStill nor any member of the judging panel will take responsibility for broken or inaccurate links or video files, nor links or video files that have been blocked by security settings or restrictions placed by internet service providers, nor expired passwords or login information.

CDs, DVDs, USBs, company brochures or any additional electronic (other than that mentioned above) or printed information must not be submitted as these will not be reviewed or judged. Some categories require evidence from learners or users which may be followed up by the judging panel. Submissions should include evidence from clients or partners and include contact details where possible.

Judging

All decisions made by the judging panel and by CloserStill relating to shortlisting, presentations and granting of awards, in the course of judging the Learning Technologies Awards, are final.  

Neither CloserStill, nor any member of the judging panel, will enter into any correspondence or discussion with any competitors or their partners on any subject. 

Neither CloserStill, nor any member of the judging panel, will accept any submissions or representations or appeals with regard to such decisions. 

CloserStill and/or the judging panel reserves, at their sole discretion, the right to:

  • disqualify entries or submissions which do not comply with these conditions or for any other reason;
  • not to make any particular award in any given category;
  • divide, merge or rename any category as it deemed appropriate;
  • move an entry to a different category without the prior consent of the entrant, if it is more appropriate; 
  • disqualify any entry that is a production of two or more companies that does not have the agreement of all parties for the entry;
  • move entries to different categories if they feel it is more appropriate without prior consent of the entrants.

 

Any conflicts of interests must be disclosed upon submission, for example where a designated judge has a commercial interest in the prosperity of the company making a submission or its client.

Any canvassing, lobbying or attempted inducement of judges at any time will lead to disqualification.

All judges are required to sign a confidentiality agreement before appointment. CloserStill also undertakes to adhere to the same confidentiality agreement.

Judges and organisers are bound by a clear agreement which prevents them from revealing the identity of winners until after the announcement of the award winners, which takes place during the gala evening in November.

Shortlist

The shortlist will be announced in September. 

All entrants, shortlisted or not, will be contacted by email after the announcement.

Details of the next steps for shortlisted entries will be given at this time, including booking the date and time for presentations, if applicable.

The shortlist will be published, by category, on the website after the announcement. 

Presentations to the judging panel

Shortlisted submissions in some categories require a 25-minute presentation to the judging panel. Please refer to the category information for further details. Judging presentations will take place in September and October, or as otherwise decided by CloserStill.  

All judging presentations are held online.

All presentation slots are allocated on a first-come, first-served basis.

Neither CloserStill nor any member of the judging panel, take any responsibility for any presentation slot not being available. 

Shortlisted competitors will be given an opportunity to select a time slot for their presentation.  All time slots will be allocated on a first-come, first-served basis. 

Once a time slot is confirmed, it cannot be changed.

All time slots are confirmed at the time of booking and cannot be held in 'reserve'.  Any competitors who have not booked a slot will have one allocated to them from what is left

Presentations cannot be rescheduled for any reason. This includes lateness of more than five minutes (for any reason), or non-attendance, or miscalculation of time zones. For submissions requiring learner information please ensure that presentations include representatives of the learners where possible.

Neither CloserStill nor the judging panel will take any responsibility for loss of connectivity or any other technical issues during a presentation. 

Gala evening

Tables and seats for the Gala Evening in November are allocated on a first-come, first-served basis. CloserStill is unable to reserve space without a booking and/or full payment.

Invoices must be settled immediately. Full payment for any table or seat booking must be received prior to the gala evening to ensure attendance at the Gala Evening is not refused.

Table and seat bookings are 100% liable and non-refundable on application, regardless of attendance at the gala evening. Should individual guests on your table be unable to attend, we would welcome a substitute guest to attend in their place. Please notify us by email at m.henchy@closerstillmedia.com with the name and job title of both the registered guest and the replacement guest.

Rest assured that we are working closely with the venue and following government guidelines to ensure we run the event as safely as possible, we want to ensure that everyone gets to celebrate the great and hard work of the L&D sector and are looking at all options available to make sure this happens.

In the circumstances where the Learning Technologies Awards is postponed or cancelled all bookings will either be carried forward to a future event or refunds will be offered.

Winner obligations

Winners are encouraged to participate in post-event publicity, including interviews and case studies, to share their innovations with a wider audience. 

Limitations and disclaimer

The Learning Technologies Awards name, logo and associated images remain the copyright of CloserStill. Entry registration or submission does not grant you rights to use the Learning Technologies Awards name, logo or associated images without the express written approval of CloserStill.

CloserStill reserve the right, in any circumstances, to cancel the Learning Technologies Awards at any time and shall not have any liability of whatsoever nature to entrants in such circumstances or otherwise.

 The Organisers will not be held responsible for any claims concerning rights infringement.

In no event shall CloserStill be liable whether in contract, tort, by statute or otherwise in respect of any loss of profits and/or loss of business for any special, indirect, incidental or consequential loss or damage arising out of or in connection with the Learning Technologies Awards, including without limitation: loss of revenue, loss of anticipated savings, loss of business and/or goods, loss of goodwill, loss of use, loss and/or corruption of data and/or other information.
